Responsibilities:
- Administrative Support:
- Manage the Sales Director's calendar; including scheduling appointments, meetings, and travel arrangements
- Draft, review, and send email, reports, presentations, and communications on behalf of the Sales Director
- Organize and prepare meeting agendas, taking detailed minutes and following up on action items
- Assist in the preparation of sales-related reports, presentations, and documents for meetings with clients, stakeholders, or senior management
- Sales Team Coordination
- Act as liaison between the Sales Director and the sales team, ensuring effective communication and follow-up on tasks
- Coordinate and track sales targets, progress, and performance updates
- Prepare and distribution sales reports, ensuring accurate data is complied from various systems or sources
- Schedule and coordinate team meetings, training sessions, and internal communications for the sales department
- Client & Stakeholder Relations
- Assist in preparing materials for client presentations or meetings, including sales proposals, contracts, and presentations
- Handle correspondence with clients and stakeholders, ensuring timely responses to inquiries and requests
- Coordinate travel and meeting arrangements for client visits, conferences, and trade shows
- Office Management
- Oversee office supplies, equipment, and meeting logistics for the Sales Director
- Ensure the Sales Director’s office is organized and that all necessary documentation and materials are readily available
- Assist with the onboarding and training of new sales team members, providing administrative support as needed
- Document Translation
- Confidentiality & Data Management
- Handle confidential sales and client information with discretion and professionalism
- Organize and maintain accurate records, client databases, and sales materials for easy access by the Sales Director and team
- Project Management
- Assist with coordinating sales campaigns, promotions, or product launches
- Track and follow up on the progress of key sales initiatives, ensuring deadlines are met and targets are achieved
Qualifications:
- Language:
- English: Business Level
- Japanese: minimum JLPT N2
- Proven experience as an executive assistant, secretary, or similar role, preferably supporting a sales or business development team.
- Proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook)
- Strong communication skills (both written and verbal), with a focus on professional correspondence.
- Ability to manage multiple tasks simultaneously and prioritize effectively in a fast-paced environment.
- High attention to detail and problem-solving abilities.
- Strong organizational and time management skills, able to work independently and within a team.
- Bachelor’s degree in Business Administration, Sales, Marketing, or a related field is preferred
- Proactive with excellent organizational and multitasking skills.
- Strong interpersonal skills, able to work with all levels of an organization and external clients.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Capable of working under pressure and managing competing priorities.
- Knowledge of sales metrics, reporting, and tracking tools is a plus.
